PRACTICAL GUIDES FOR PROJECT TEAMS

Better Projects Start with a Better Brief.

Practical guidance for brand, events, procurement and corporate communications teams planning exhibitions, corporate events and reports.

GUIDE 01 · EXHIBITIONS

An Exhibition Booth Brief: What to Include

A clear brief helps suppliers define the scope and prepare a relevant proposal. Before requesting a quotation, gather:

  • Exhibition name and dates, venue, and your allocated stand dimensions.
  • Objectives, target visitors, products or messages to feature, and the action you want visitors to take.
  • Brand guidelines, visual references, presentation materials, display requirements, meeting space, storage and hospitality needs.
  • Organizer and venue requirements, including height limits, loading access, power, rigging, build and dismantling windows, and safety paperwork if required.
  • Your internal decision timeline, point of contact, available budget range and final approver.

The clearer the requirements and constraints, the easier it is to compare proposals on scope and deliverables—not price alone.

GUIDE 02 · CORPORATE EVENTS

What to Include in a Corporate Event Brief

Share your event objectives, expected attendance and audience profile, dates and venue, intended experience, stage and AV needs, draft agenda, speakers, brand assets and documentation requirements. Identify who approves decisions and how changes are managed so production teams can coordinate effectively.

GUIDE 03 · ANNUAL REPORTS

What to Prepare Before Designing an Annual Report

Prepare the content structure, previous reports, approved data and sources, licensed photographs, brand guidelines, contributors and reviewers, review deadlines, and final output formats. For sustainability reports, identify who owns and verifies the underlying information. Design improves clarity; content accuracy remains subject to approval by the responsible organization.
